About the Role
The Sales Administrator supports the Sales and Operations teams by coordinating key administrative activities that enable efficient customer engagement and order processing. The role is responsible for preparing quotes, maintaining accurate CRM and ERP records, processing customer orders and ensuring timely communication with both internal stakeholders and customers.
Working across multiple systems and teams, the position helps maintain clean sales data, supports pipeline visibility and ensures customer requests, quotes and orders are processed accurately and efficiently.
Key Responsibilities
- Monitor and manage shared inboxes, responding to customer inquiries and routing requests to the appropriate teams.
- Prepare accurate customer quotes using approved templates, validating pricing, product information and contract requirements.
- Enter customer purchase orders into ERP systems and ensure all information including pricing, part numbers and shipping details are correct.
- Manage order confirmations and support updates including changes, backorders and order status communication.
- Maintain CRM records by creating and updating opportunities, contacts, activities and supporting documentation.
- Support accurate sales pipeline management through consistent data entry and opportunity updates.
- Maintain and update customer and distributor portals including documentation, pricing, certifications and order information.
- Provide order, quote and delivery status updates to customers and internal teams.
- Coordinate with Operations, Finance and Engineering teams to ensure smooth order processing and delivery.
- Assist with routing and documentation related to RMAs and warranty requests.
About You
You bring experience in sales administration, customer service or sales operations within a fast‑paced business environment. You are comfortable working across multiple systems including CRM and ERP platforms and understand the importance of accurate data and documentation in supporting sales and operational workflows.
You are highly organised and detail oriented, with the ability to manage competing priorities while maintaining accuracy. You communicate clearly with both customers and internal teams and take a proactive approach to resolving issues and keeping stakeholders informed.
Experience within manufacturing, defence or government procurement environments will be advantageous, along with familiarity with systems such as Salesforce and SAP or similar CRM and ERP platforms.
This position requires an active DoD Secret security clearance or willingness to undergo a security clearance background investigation with the ability to obtain and maintain such clearance.
