What will you be doing?

 

The Administrative Receptionist serves as the first point of contact for Kägwerks, providing front-desk reception duties and administrative support across the organization. This position is responsible for creating a professional and welcoming environment for all visitors and callers while ensuring the smooth day-to-day operation of office functions.

 

Working closely with leadership and various departments, the Administrative Receptionist will manage key office services, support meetings and travel logistics, and maintain a clean and organized workspace. The ideal candidate will demonstrate discretion, attention to detail, and a high level of professionalism in all interactions.

 

Key Responsibilities include:

 

  • Answering and routing calls from the main telephone line and monitoring voicemail
  • Greeting and assisting visitors and notifying appropriate personnel upon arrival
  • Preparing conference rooms for meetings, including food and beverage setup and breakdown
  • Maintaining cleanliness in shared office spaces such as the kitchen and conference rooms
  • Coordinating with building management regarding cleaning and maintenance needs
  • Receiving, sorting, and distributing incoming mail and deliveries; preparing outgoing mail and coordinating parcel pickups
  • Scanning and filing documents for administrative departments & maintaining office and kitchen supply inventory; placing and tracking supply orders
  • Monitoring and restocking office equipment supplies (e.g., copier toner)
  • Managing conference room calendars and scheduling & providing travel support and coordination for employees as needed
  • Assisting the Operations team with ERP administration tasks while performing additional administrative duties as assigned

 

 

About You:

 

The successful candidate will bring a professional demeanour, strong communication skills, and a proactive approach to administrative support. A demonstrated ability to manage multiple responsibilities, maintain confidentiality, and adapt to changing needs is essential. The role requires a dependable and organized individual who can work both independently and collaboratively within a fast-paced office environment. 

 

Required Qualifications:

 

  • 3–5 years of relevant experience in an administrative, office, or receptionist role
  • High School Diploma required; Associate’s degree in business or office administration preferred
  • Proficiency in Microsoft Office 365 (Outlook, Word, Excel, etc.)
  • Strong organizational skills with attention to detail and accuracy
  • Effective time management and ability to prioritize tasks
  • Excellent verbal and written communication skills & the ability to exercise discretion when handling confidential information
  • Experience with SYSPRO ERP software is preferred but not required; familiarity with ERP systems in general is a plus.

 

 

Salary range is $45,000 - $60,000
