About the Role
This is a full-time position offered on a 12-month fixed-term contract, based at our Whiteley office
As Talent Acquisition Coordinator, you will help candidates move smoothly through our recruitment process by coordinating interviews and pre-employment checks. Working closely with recruiters, hiring managers and HR, you will keep arrangements on track, maintain accurate records and provide clear, timely communication.
Your success will be reflected in promptly arranged interviews, well-informed candidates and pre-employment checks completed with issues escalated early. You will give colleagues clear visibility of candidate readiness and help ensure a smooth handover to HR or onboarding teams.
Key Responsibilities
- Coordinate interview schedules across candidates, hiring managers and panels, arranging meeting rooms or video links and sending confirmations, calendar invitations and joining instructions.
- Manage interview changes and cancellations, coordinate candidate adjustments and practical arrangements, and keep everyone informed.
- Act as a point of contact for candidates, responding to queries about interview arrangements and pre-employment requirements.
- Initiate and track references, right-to-work verification and role-specific screening in line with company procedures.
- Follow up on outstanding documents with candidates, referees and screening providers, checking completeness and escalating discrepancies, delays or concerns promptly.
- Maintain accurate interview and screening records in recruitment and HR systems, keeping recruiters and hiring managers updated on progress and any issues affecting proposed start dates.
- Coordinate the handover to HR or onboarding teams once required checks and approvals are complete, handling candidate information securely and confidentially.
About You
You will bring experience in coordination, scheduling or administration, with strong organisational skills and the ability to manage multiple interviews and candidate checks simultaneously. You are comfortable managing busy calendars and responding to changing priorities while maintaining excellent attention to detail and accurate records.
Clear, professional communication and a helpful approach to candidate queries are essential. You can follow procedures, recognise and escalate issues promptly, and handle sensitive information with discretion. You will also be confident using email, calendars, spreadsheets and online meeting platforms.
Experience coordinating recruitment or pre-employment screening, familiarity with applicant tracking or HR systems, and experience liaising with external screening providers will be highly regarded, but are not essential.
Benefits and Culture
Our culture is supportive and collaborative. You will be part of a multidisciplinary team where we share our ideas and innovation is strongly encouraged. We are looking for someone with genuine passion for the job and a “can-do” attitude.
